The Receptionist / Administrative Support Coordinator is a full-time, fully on-site position responsible for managing front desk operations and providing comprehensive administrative and operational support at ÿÈÕ´ó¹Ï’s St. Petersburg location. This role serves as the primary point of contact for students, staff, and external visitors, ensuring a welcoming, professional, and well-organized environment.Ìý

Reporting directly to the Assistant Vice President for Transformative Partnerships and Growth Initiatives, this position plays a critical role in supporting daily site operations, coordination of events and engagements, and administrative functions across multiple activities and stakeholders.Ìý

This role requires consistent on-site presence, flexibility with business hours, andÌýa high levelÌýof reliability, professionalism, discretion, and attention to detail. The successful candidate willÌýdemonstrateÌýthe ability to proactively support a dynamic, multi-use site environment.Ìý

Essential Duties and ResponsibilitiesÌý

Front Desk and Customer ServiceÌý

  • Serve as the primary front desk representative, greeting andÌýassistingÌýstudents, staff, and visitors in a professional and welcoming mannerÌý
  • Maintain consistent front desk coverage during business hours, including opening and securing the facility asÌýrequiredÌý
  • Monitor building access and contribute toÌýmaintainingÌýa safe, secure, and accessible environmentÌý
  • Provide information and directionÌýregardingÌýsite services, meetings, events, and activitiesÌý
  • Communicate effectively with internal and external constituents via phone, email, text, mail, and other channels, including drafting and typing correspondenceÌý

Administrative and Operational SupportÌý

  • Provide administrative support to the Transformative Partnerships team, including data entry, document preparation, coordination, and follow-up activitiesÌý
  • Maintain organization and professional appearance of the front desk, shared spaces, and office suppliesÌý
  • Maintain stockroom inventory for office supplies and coordinate replenishment as neededÌý
  • Coordinate with Executive Site Leadership and staff to support daily operations and respond to emerging needsÌý

Event and Engagement CoordinationÌý

  • Support planning and execution of events, site visits, and engagements involving internal and external stakeholdersÌý
  • CoordinateÌýlogisticsÌýincluding catering, food and beverage arrangements, and vendor engagement (e.g., caterers, grocery pickups)Ìý
  • Arrange travel-related accommodations for visiting staff, including hotel reservations and dining arrangementsÌý
  • AssistÌýin preparing meeting and event spaces to ensure readiness and professionalismÌý

Site Scheduling and CoordinationÌý

  • Manage andÌýmaintainÌýthe daily events calendar for the siteÌý
  • Track andÌýmaintainÌýan active roster of individuals on-site each dayÌý
  • Align staffing coverage and operational needs with scheduled events andÌýidentifyÌýpotential scheduling conflictsÌý

Academic and Programmatic SupportÌý

  • AssistÌýin preparation for on-site classes and programming activitiesÌý
  • Support setup and readiness of specialized instructional spaces, including nursing and engineering labsÌý
  • Coordinate with building management to support facility needs, such as ensuring HVAC availability outside normal business hours whenÌýrequiredÌý
  • Help ensure food and related resources are available for classes and extended programmingÌý

Operational FlexibilityÌý

  • Demonstrate flexibility in supporting site operations, including occasional adjustments to schedule based on business needs, events, or extended hoursÌý
  • Uphold a high standard of customer service, responsiveness, and professionalism in all interactionsÌý

  • Residency within the St. Petersburg/Tampa Bay area with reliable transportationÌý
  • Ability to work fully on-site with consistent and punctual attendanceÌý
  • Strong interpersonal and customer service skills, with the ability to create a welcoming environmentÌý
  • Excellent organizational skills and strong attention to detailÌý
  • Demonstrated reliability, accountability, and ability to manage responsibilities independentlyÌý
  • Strong verbal and written communication skillsÌý
  • Ability to manage multiple priorities in a dynamic, fast-paced environmentÌý
  • ProficiencyÌýin Microsoft Office Suite, including Outlook, Word, Excel, and PowerPointÌý
  • Comfort supporting event coordination,Ìýlogistics, and operational planningÌý
  • Prior experience in front desk, administrative, or customer-facing roles preferredÌý

The hiring salary range for this position is $48,500 - $52,000. The hiring salary range above represents the University’s good faith estimate at the time of posting.
